Summary
Under the direction of the Controller, the Accounting Assistant performs general accounting duties in accordance with prescribed procedures and Generally Accepted Accounting Principles (GAAP). This position is split between the Front Desk and the main Accounting Department.
Essential Duties and Responsibilities
This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.
1. (First Priority) Provide exemplary customer service to all stakeholders in an effective and efficient manner via e-mail, phone, and in-person. All other duties are secondary priorities to customer service.
2. Stock in and arrive new and used vehicles.
3. Prepare dealer trades and driver packets.
4. Maintain the Vehicle Logbook.
5. Scan documents into systems as needed.
6. Maintain account receivables system; mail invoice statements to customers; compile and sort incoming checks; record receipts and take bank deposits to bank.
7. Maintain account payables system; verify invoices to purchase orders and receiving documents;Â resolve discrepancies; request payment by Office Manager to pay invoices.
8. Prepare and mail out checks.
9. Maintain vendor and supplier Employer Identification Numbers (EIN) and sales tax exemptions in system.
10. Assist with reporting, special projects, and other accounting duties as needed.
11. File and maintain clerical records.
12. Comply with all quality, safety, and governmental laws and regulations.

Education and/or Experience
Requires a high school diploma, or equivalent, plus two years of related experience in the accounting field, and exemplary customer service skills.
Language Skills
Ability to read and interpret documents such as invoices, bank deposit slips, procedure manuals and
various other documents. Ability to write routine reports and correspondence. Ability to speak effectively to customers or employees of the organization.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest and percentages. Ability to apply concepts of basic algebra.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written or verbal form.  Ability to deal with issues or situations with a positive, can-do attitude.
